Full Terms and Conditions

These Terms and Conditions (“Terms”) apply to all fitness classes, sessions, courses and related services (“Classes”) provided by Gem Pilates Studio (“we”, “us”, “our”). By booking, attending or participating in our Classes, you agree to be bound by these Terms.
1.1 You must be at least 18 years old to attend Classes unless otherwise stated or with written parental/guardian consent.
1.2 You confirm that you are physically fit and able to participate. You are responsible for consulting a GP or medical professional before beginning any new exercise programme.
1.3 You must disclose any medical conditions, injuries, pregnancies or other health concerns that may affect your participation.
1.4 We reserve the right to refuse participation if we believe attendance may pose a risk to your health or safety.
2.1 All Classes must be booked in advance via [booking system/website/app] unless otherwise agreed.
2.2 Bookings are subject to availability and are confirmed once payment has been received.
2.3 We reserve the right to change timetables, instructors or venues at any time.
3.1 Prices are displayed in pounds sterling (£) and include VAT where applicable.
3.2 Payment must be made in full at the time of booking unless otherwise stated.
3.3 We reserve the right to amend prices at any time, but changes will not affect confirmed bookings.
4.1 We offer class packages and 12-month memberships, details of which are available via our website, booking system, or in-studio.
4.2 Class Packages:
Packages must be used within the stated validity period and cannot be extended unless required by law.
Packages are non-refundable and non-transferable unless otherwise stated.
4.3 12-Month Memberships:
Memberships are a minimum 12-month commitment unless otherwise required by UK consumer law.
Membership fees are payable monthly by direct debit or as otherwise agreed.
Memberships are personal and may not be shared.
Early termination is not permitted except in exceptional circumstances (e.g. long-term illness or relocation), at our discretion and subject to evidence.
4.4 14-Day Cooling-Off Period:
Where a package or membership is purchased online, by phone or off-premises, you have the right to cancel within 14 days from the date of purchase without giving any reason, in accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
To exercise your right to cancel, you must notify us in writing by email within the 14-day period.
If Classes have already been attended during the cooling-off period, a pro-rata charge may be deducted from any refund.
4.5 We reserve the right to suspend or terminate packages or memberships for breach of these Terms without refund.
4.1 Client cancellations:
Cancellations made more than [e.g. 24 hours] before the Class start time may be transferred or refunded at our discretion.
Cancellations made within [e.g. 24 hours] of the Class start time, or non-attendance, are non-refundable.
4.2 Our cancellations:
If we cancel a Class, you will be offered a full refund, credit, or transfer to another Class.
We are not responsible for additional costs incurred (e.g. travel or accommodation).
5.1 Late arrivals may be refused entry if joining late could disrupt the Class or pose a safety risk.
5.2 No refunds will be given for late arrival.
6.1 You agree to behave respectfully towards instructors, staff and other participants.
6.2 We operate a zero-tolerance policy for harassment, discrimination, aggressive or unsafe behaviour.
6.3 We reserve the right to remove you from a Class without refund if these standards are breached.
7.1 You agree to follow all instructions given by instructors.
7.2 Participation is at your own risk. You are responsible for exercising within your own limits.
7.3 You must use equipment correctly and notify the instructor of any issues.
8.1 We are not responsible for loss, theft or damage to personal property brought to Classes.
9.1 Nothing in these Terms limits or excludes liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be excluded under UK law.
9.2 Subject to clause 9.1, we are not liable for:
Any injury, loss or damage resulting from participation where no negligence is proven;
Indirect or consequential loss.
10.1 We may take photographs or videos during Classes for promotional purposes.
10.2 If you do not wish to appear in such media, please inform us in writing before the Class.
11.1 We process personal data in accordance with UK GDPR and the Data Protection Act 2018.
11.2 For details, please see our Privacy Policy at [link].
12.1 We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from events beyond our reasonable control, including but not limited to acts of God, fire, flood, extreme weather, pandemics, epidemics, government restrictions, strikes, power failures, or failure of third-party suppliers.
12.2 In such circumstances, Classes may be cancelled, postponed or rescheduled. Where possible, we will offer alternative dates, credits or refunds at our discretion.
12.1 We may update these Terms from time to time. The latest version will always be available on this page.
13.1 These Terms are governed by and construed in accordance with the laws of England and Wales.
13.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

The following terms apply in addition to the general Terms and Conditions and form part of your agreement with Gem Pilates Studio.
1.1 The Standard Reformer Class Membership provides credits equivalent to one (1) Reformer class per week, offering approximately a 16% saving against the standard single-class price.
1.2 Memberships are limited and subject to availability.
Your membership includes:
Four (4) guest passes per membership year, subject to availability and studio policies.
Ability to book classes up to five (5) weeks in advance.
Access to live online Mat Pilates classes via Zoom.
Access to the Pilates video library once available.
Priority booking for Pilates retreats.
10% discount on studio workshops.
3.1 “Reformer classes” refer to any in-studio Reformer-based group sessions.
3.2 Reformer classes exclude mat-based classes, personal training sessions, and any other services unless explicitly stated.
4.1 You are responsible for cancelling booked classes at least 12 hours in advance if you are unable to attend.
4.2 Failure to cancel within this time may result in the loss of the class credit.
4.3 Repeated late cancellations or non-attendance may result in:
A written warning; and/or
Temporary restriction of advance booking privileges.
5.1 Minimum membership term: 12 months.
5.2 Membership fees are payable in 12 equal monthly payments of £74, totalling £888 per year.
5.3 Payments are due monthly regardless of attendance and must be made using the agreed payment method.
6.1 Total credits provided: 48 Reformer class credits per 12-month term (equivalent to £18.50 per class).
6.2 Credits:
Are valid only during the active membership period;
Are non-transferable and may only be used by the named member;
Cannot be exchanged for cash or used for other services.
6.3 Any unused credits will expire at the end of the 12-month membership term.
7.1 The studio operates for 48 weeks per year. This has been factored into the pricing and allocation of credits.
8.1 If all membership credits are used before the end of the membership term, you may purchase additional credits at the prevailing rate.
8.2 Use of all credits does not affect the minimum 12-month membership commitment.
9.1 This membership is a fixed-term contract. Early cancellation is not permitted except where required by UK consumer law or in exceptional circumstances (e.g. long-term illness or relocation), subject to evidence and at our discretion.
9.2 Where early cancellation is not approved, all remaining payments for the 12-month term will remain due.
9.3 We reserve the right to recover any outstanding membership fees through reasonable and lawful means.
10.1 One pause of up to three (3) months is permitted per 12-month membership.
10.2 Membership pauses must be requested in writing and approved in advance.
11.1 Where you are unable to attend Classes due to long-term injury, medical condition or pregnancy, you may request a medical suspension of your membership. 11.2 Medical suspensions must be supported by reasonable evidence (e.g. a doctor’s or healthcare professional’s note) and requested in writing. 11.3 Approved medical suspensions will pause billing and extend the membership term by the length of the suspension, up to a maximum of six (6) months. 11.4 Medical suspensions do not increase the total number of credits provided under the membership.
12.1 At the end of the 12-month term, your membership will not automatically renew unless expressly agreed. 12.2 Any renewal will be offered at the price in effect at the time of renewal. 12.3 We reserve the right to amend membership pricing for future terms, but no price changes will apply during an active 12-month membership period.
13.1 Nothing in these Terms affects your statutory rights under UK consumer law, including the Consumer Rights Act 2015. 13.2 All membership terms are intended to be fair, transparent and proportionate in accordance with CMA guidance on consumer contracts.
The following terms apply in addition to the general Terms and Conditions and form part of your agreement with Gem Pilates Studio.
1.1 The Premium Reformer Class Membership provides credits equivalent to two (2) Reformer classes per week, representing approximately a 20% saving against the standard single-class price.
1.2 This membership is limited in number and subject to availability.
Your membership includes:
Four (4) guest passes per membership year (subject to availability and studio policies).
Ability to book classes up to five (5) weeks in advance.
Access to live online Mat Pilates classes via Zoom.
Access to the Pilates video library (once available).
Priority booking for Pilates retreats.
Ability to pause your membership for up to three (3) months per year (one pause per 12-month period).
10% discount on studio workshops and Mat Pilates class packs.
3.1 “Reformer classes” refer to any in-studio Reformer-based group sessions.
3.2 Reformer classes exclude mat-based classes, personal training sessions, and any other services unless explicitly stated.
4.1 You are responsible for cancelling booked classes at least 12 hours in advance if you are unable to attend.
4.2 Failure to cancel within this time may result in the loss of the class credit.
4.3 Repeated late cancellations or non-attendance may result in:
A written warning; and/or
Temporary restriction of advance booking privileges.
5.1 Minimum membership term: 12 months.
5.2 Membership fees are payable in 12 equal monthly payments of £140, totalling £1,680 per year.
5.3 Payments must be made by the agreed payment method and are due regardless of attendance.
6.1 Total credits provided: 96 Reformer class credits per 12-month term (equivalent to £17.50 per class).
6.2 Credits:
Are valid only during the active membership period;
Are non-transferable and may only be used by the named member;
Cannot be exchanged for cash or used for other services.
6.3 Any unused credits will expire at the end of the 12-month term, or at the end of any approved pause period (up to an additional three months).
7.1 The studio operates for 48 weeks per year. This has been factored into the pricing and allocation of credits.
8.1 If all membership credits are used before the end of the membership term, you may purchase additional credits at the prevailing rate.
8.2 Use of all credits does not affect the minimum 12-month membership commitment.

1.1 The Duo Membership provides shared credits for two named individuals, allowing each person to attend one (1) class per week, subject to availability. 1.2 This membership is limited in number and subject to studio capacity.
2.1 The membership may be shared by a maximum of two (2) named individuals only. 2.2 Both individuals must be registered with the studio. 2.3 Credits may be used by either individual but may not be transferred to any other person.
Your Duo Membership includes:
Free access to live online Mat Pilates classes via Zoom.
Access to the Pilates video library once available.
Priority booking for Pilates retreats.
10% discount on studio workshops.
4.1 This membership may be used for in-studio Reformer or Mat-based group classes. 4.2 This membership excludes personal training and private sessions, unless expressly agreed.
5.1 You are responsible for cancelling booked classes at least 24 hours in advance if you are unable to attend. 5.2 Late cancellations or non-attendance may result in the loss of the class credit. 5.3 Repeated failure to attend booked classes may result in:
A written warning; and/or
Temporary restriction of booking privileges.
6.1 Minimum membership term: 12 months. 6.2 Membership fees are payable in 12 equal monthly payments of £138, totalling £1,656 per year. 6.3 Payments are due monthly regardless of attendance and must be made using the agreed payment method.
7.1 Total credits provided: 96 class credits per 12-month membership term. 7.2 Credits:
Are valid only during the active membership period;
Are shared between the two named members;
Are non-transferable and cannot be exchanged for cash or used for other services. 7.3 Any unused credits will expire at the end of the 12-month membership term.
8.1 The studio operates for 48 weeks per year. This has been factored into the pricing and allocation of credits.
9.1 The Duo Membership cannot be paused, except where required by UK consumer law or in exceptional circumstances at our discretion.
10.1 If all membership credits are used before the end of the membership term, additional credits may be purchased at the prevailing rate. 10.2 Use of all credits does not affect the minimum 12-month membership commitment.
11.1 This membership is a fixed-term contract. Early cancellation is not permitted except where required by UK consumer law or in exceptional circumstances (e.g. long-term illness), subject to evidence and at our discretion. 11.2 Where early cancellation is not approved, all remaining payments for the 12-month term will remain due. 11.3 We reserve the right to recover any outstanding membership fees through reasonable and lawful means.Additional Membership Protections and Clarifications

1.1 The 4-Class Mat Pass provides four (4) Mat Pilates class credits. 1.2 Credits may be used by one individual or shared between multiple individuals, provided all participants are registered with the studio. 1.3 This pass is intended for Mat-based group classes only.
2.1 The total price of the 4-Class Mat Pass is £32, equivalent to £8 per class. 2.2 The pass is valid for two (2) months from the date of purchase. 2.3 All credits must be used within the validity period. Any unused credits will automatically expire at the end of the two-month period.
3.1 Credits may be redeemed for any in-studio Mat Pilates group class. 3.2 The pass excludes Reformer classes, personal training, private sessions, workshops, retreats, and special events, unless otherwise stated.
4.1 Classes must be booked in advance and are subject to availability. 4.2 You are responsible for cancelling a booked class at least 12 hours in advance if you are unable to attend. 4.3 Late cancellations or non-attendance may result in the loss of the class credit.
5.1 The 4-Class Mat Pass may be shared with friends or family members. 5.2 Each participant must complete any required registration, waiver, or health declaration prior to attending a class. 5.3 The purchaser of the pass remains responsible for ensuring all users comply with studio policies.
6.1 Where the pass is purchased online, by phone, or off-premises, you have the right to cancel within 14 days of purchase in accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. 6.2 To exercise this right, you must notify us in writing by email within the 14-day period. 6.3 If one or more classes have been attended during the cooling-off period, a pro-rata deduction will be made from any refund. 6.4 After the 14-day cooling-off period, the pass is non-refundable, except where required by UK consumer law.
7.1 Credits may not be exchanged for cash or transferred to another type of service. 7.2 Credits cannot be extended beyond the stated validity period, except where required by law.
8.1 The studio operates in accordance with its published timetable. Class availability may vary due to holidays, instructor availability, or unforeseen circumstances.
9.1 We reserve the right to cancel or reschedule classes where necessary. 9.2 Where a class is cancelled by us, the affected credit will be returned to the pass.
